Prospective Members

Prospective members may participate in up to 3 activities. After three activities, Prospective members must join the Circle of Friends Social Group if they wish to continue to receive the Group’s Newsletter and to participate in Group activities.
Prospective members may participate in any activity but must contribute their share to the cost of running the activity, if required. Some activities may attract a higher contribution for Prospective members than Financial members, especially those subsidized activities where only financial members would receive the subsidy.
Prospective members are sent two complimentary newsletters. For subsequent newsletters they will need to join the Circle of Friends Social Group.

Membership

Membership Fees are non-refundable once paid. Circle of Friends Social Group has the right not to send a newsletter if membership does not remain current.
The Circle of Friends Social Group has the right to cancel or suspend membership of any individual who acts in an inappropriate manner that offends other participants in the group. Complaints, if any, should be notified to one of the Group Coordinators. It is considered that such objections would require substantiation. Should three objections be raised at a planning night, the Group Coordinators will decide who contacts the individual concerned, the nature of the issue of concern and whether the contact should be by phone or formally in writing. Action will then be taken on the matter. The decision will be announced at a future Planning Night. No refund in full or part for membership fees will be payable under cancellation or suspension of a membership.

Participation in Activities

The Activity organiser reserves the right to cancel an activity if there is no response from other members to attend that function. However, it is Group policy that a function should be held if at all possible. Functions can also be cancelled if inclement weather could lead to the potential for accidents to occur.
An activity organiser has the right to refuse participation if insufficient notice is given for involvement in an activity, or by a lack of cooperation with payment of any deposits by the due date. This also applies if the person is considered unfit or there is a risk of affecting the health and well-being of other participants in the activity.
Whilst every care is taken to ensure personal safety at Group activities, all members and their family and friends taking part, do so at their own risk.
Deposits collected for activity events are non-refundable, except when the activity is cancelled. This is to cover costs charged by some venues. In some cases a deposit may be required more than one week in advance particularly for trips that involve an overnight stay or events that require a deposit to secure a venue. Details of the amount and when a deposit is required are at the discretion of the activity organisers.
Activity organisers are to take all necessary precautions to ensure the safety of all who join in an activity. Organisers or Circle of Friends Social Group members cannot be held responsible for any personal injury or loss arising from an activity. The Circle of Friends Social Group has the right to remove activities from the program which are deemed risky or unsuitable for the group.
Transport may be arranged if required, but a fair contribution towards running costs of the vehicle should be made to the driver. The activity organiser should be contacted if transport is required. For some activities car-pooling arrangements are made as a part of the activity.

Children

By definition a child is a person below the age of consent (younger than 18 years).
Children cannot attend functions starting after 6pm unless indicated in the newsletter. Children must be accompanied and supervised by a parent at all activities
Children are not required to pay a membership fee. Only children of financial members are eligible to participate in the Circle of Friends Social Group activities (unless otherwise indicated in a Newsletter).

Costs

All participants must pay the full costs associated with an activity as advertised in the newsletter regardless of the level of participation in the activity.

Organising Activities

Activities in the Circle of Friends Social Group program will not be organized jointly with any other Social Club under any circumstances. If Circle of Friends members wish to participate in other Social Clubs’ activities they will need to become a member of that other social Club.
